Running community gatherings of thousands: crowd, volunteers, technology

By CTC Smart Tech · 18 July 2026 · 6 min read

Large religious and community events are logistics problems first. The plan has three layers.

Supporting temples and community organisations taught us that large gatherings succeed on three layers: crowd flow, volunteer roles and information.

Crowd flow is designed with the venue: arrival waves, separate entrances for registered participants, medical points and coordination with local authorities.

Volunteers get roles, not tasks: a check-in lead, zone leads, runners — with a short briefing and a chat channel per zone.

Information runs on a simple platform: registration before the event, a schedule everyone can open on a phone, and announcements pushed to the channels. After the event, the same platform produces the attendance and campaign report for sponsors.

None of it is glamorous, and all of it is what keeps thousands of people safe and informed.
